Job Title: Document Control SpecialistJob Description
This role involves intensive document management. When a truck arrives at the facility, it will have a folder full of documents ranging from 100 to thousands of pages. The documents need to be scanned, addresses verified, correct handling codes entered, and then printed, signed, dated, and scanned into the internal system. This must be done for every document before unloading the trucks. Additionally, you may need to mail copies of some documents to customers or clients.
Responsibilities
Sign manifests/bills of lading (BOLs) as the end facility.
Manage the life cycle of signed manifests/BOLs, including associated paperwork, IDP Scanning, mailing to customers, filing hard copies, and sending documents for shredding after three years of storage.
Manage and track supplies related to the office, breakroom, and PPE.
Perform office administrative tasks, including maintaining electronic and paper files, updating reports and spreadsheets, and sorting and distributing mail.
Answer the door at the front and employee entrances.
Generate purchase orders (POs) as requested by management and track invoices for all POs generated.
Escort contractors to areas they need access to.
Perform other related tasks as assigned by management.
Essential Skills
2+ years of administrative experience handling and maintaining a large volume of documents.
Strong computer skills in Microsoft Word, Excel, and Outlook.
Ability to send mail correctly (stamp, return address, etc.).
Additional Skills & Qualifications
- Knowledge of RCRA, DOT, and Hazmat regulations is a plus.
Work Environment
Onsite, Monday to Friday, 7am - 3:30pm. The day starts with a safety meeting and stretches. The schedule includes a paid break from 9-9:15am, an unpaid lunch from 11:15-11:45am, and a paid break from 1:45-2pm. Some overtime may be required initially to catch up on tasks. A point system is in place for attendance, with specific rules for late arrivals and no-call no-shows.
