Aston Carter Office Manager/Accounting Supervisor in Kent, Washington


Job Description: Accounting Supervisor with some office manager duties/

(Brief Summary)

This role will organize and supervise all the administrative activities that facilitate the smooth

running of an office. An office manager may be expected to carry out a range of administrative, finance

and IT‐related tasks. They are ultimately responsible for ensuring that their office runs efficiently.

Office Manager:

 Organizing the recruitment of new staff and controlling the office budget.

 Responsible for the accurate and timely reporting of all financial information.

 Supervising the implementation of new office systems

 Supervising Office personnel, training, meetings and maintaining records.

 Organizing office maintenance and repair work.

 Reporting of all Financial and Administrative functions.

 Dealing with complex queries and complaints on the telephone, by email and in person.

 Delegating work and workload planning; supervising the work of clerical and secretarial staff.

 Prioritize work to meet goals and objectives within acceptable time frames.


 Responsible for accurate and timely preparation of billing invoices.

 Serves as a primary customer contact for billing issues.

 Maintains appropriate files, documents, and reports regarding billings.

 Works closely with other Finance Division members to maintain the integrity of all financial


 Monitors the basic billing collection and follow‐up activities.

Accounts Payable:

 Prepare batches of invoices for data entry by verifying correct coding, receipt of goods.

 Call Vendors when we have not received the invoices for the P.O.’s in the system.

 Maintain updated vendor files and file numbers.

 Answer phones when necessary.

 Contacts Customers on all Aging accounts over 30 days to determine why we have not received


 Researches and responds to incoming questions or complaints; provides information to

corporate department on delinquent accounts.


 Review time sheets, work charts, wage computation, and other information to detect and

reconcile payroll discrepancies.

 Verify attendance, hours worked, and pay adjustments, and post information onto designated


 Provide information to employees and managers on payroll matters, tax issues, benefit plans,

and collective agreement provisions.

 Post relevant work hours to the correct Job files to bill Customers properly.
