Job Title: Patent Specialist

Job Description

We are seeking a Patent Specialist to handle the day-to-day operations for the VP. The main responsibility will be the upkeep of an existing portfolio of approximately 250-300 cases, organized in folders. The assistant will help maintain all files and add important dates to the calendar to keep track of upcoming deadlines.

This is a fully remote contract role with flexible hours

Responsibilities

  • Assist in the preparation and filing of patent applications, including gathering technical data and supporting documentation.

  • Help manage and maintain the company’s patent portfolio, tracking important deadlines and ensuring compliance with relevant regulations.

  • Prepare and review basic patent-related documents, working with internal teams to gather necessary information.

  • Support communication between internal teams (R&D, legal, etc.) and external patent counsel.

  • Assist with general IP administrative tasks, such as filing and updating records.

Essential Skills

  • Extensive experience with and understanding of patents.

  • Must have experience/knowledge of office actions, new filings, ability to read notices and identify deadlines.

  • Legal administrative experience.

  • Proficiency in Excel.

  • Strong data management skills.

  • Familiarity with MS Office Suite.

Additional Skills & Qualifications

  • Experience with filing system software.

  • Experience with docketing.

  • Paralegal skills.

  • Executive administrative support experience.

  • Experience in life sciences or biotech is ideal but not required.

  • Strong attention to detail.

  • Bachelor's degree.
